How to Send and Receive Emails on Mac

Sending and receiving emails is an essential part of our daily communication. In this guide, we will walk you through the step-by-step process of setting up and using the default Mail app on your Mac to send and receive emails.

Prerequisites

  • A Mac computer (compatible with the latest version of macOS)
  • Internet connection
  • Email account information (email address, username, password, and incoming/outgoing server details)

Step 1: Adding an Email Account

  1. Launch the Mail app on your Mac. It is usually found in the Applications folder, or you can use Spotlight search to find it quickly.
  2. Click on the Mail menu in the top left corner of your screen and select Preferences.
  3. In the Preferences window, click on the Accounts tab.
  4. To add a new email account, click on the "+" button at the bottom left of the screen.
  5. Choose the email provider from the list (e.g., iCloud, Google, Yahoo) or select Other Mail Account if your provider is not listed.
  6. Enter your email address and password in the provided fields, and click Sign In.

Step 2: Manual Account Setup

  1. If the automatic setup fails, you will need to enter the account details manually. Ensure you have the correct information from your email provider.
  2. Select the account type (IMAP or POP) based on your email provider's recommendation. IMAP is generally preferred as it syncs your emails across multiple devices.
  3. Enter the incoming mail server (IMAP/POP) details provided by your email provider. This usually includes the server address, port number, SSL preference (if any), and authentication.
  4. Next, enter the outgoing mail server (SMTP) details. Again, you will need the server address, port number, SSL preference (if any), and authentication.
  5. Click on the Sign In button to complete the account setup.

Step 3: Sending and Receiving Emails

  1. Once your email account is set up, you can start sending and receiving emails.
  2. To compose a new email, click on the "+" button in the Mail app's toolbar or use the File menu and select New Message.
  3. In the new message window, enter the recipient's email address, subject line, and compose your message in the provided text area.
  4. Use the Format menu to apply text formatting, add attachments, or include images.
  5. To send the email, click on the Send button or use the keyboard shortcut Cmd + Shift + D.
  6. To check for new messages, simply click on the Inbox icon in the Mail app's sidebar. It will automatically fetch new emails from your email server.
  7. You can organize your emails into different folders by clicking and dragging them into the desired Mailbox or creating new mailboxes using the Mailbox menu.
  8. Reply to or forward an email by selecting the message and clicking on the appropriate buttons in the Mail app's toolbar.
