How to Create and Use a Digital Signature in Preview

In this tutorial, we will guide you through the process of creating and using a digital signature in Preview, the default PDF viewer on macOS. Digital signatures allow you to securely sign documents and authenticate your identity. By following these steps, you will be able to apply your digital signature to PDF files using Preview.

Note: Before getting started, ensure that you have a digital copy of your signature image file saved on your computer, preferably in PNG format with a transparent background.

Step 1: Import Your Signature Image

  1. Launch Preview by clicking on the Finder icon in your dock, selecting Applications, and then double-clicking on Preview.
  2. Open the PDF document you want to sign by either dragging it into the Preview window or navigating to File > Open and selecting the file.
  3. Once the document is open, make sure the Markup Toolbar is visible. If it isn't, go to View > Show Markup Toolbar.

Step 2: Create and Save Your Signature

  1. In the Markup Toolbar, click on the Sign icon (Sign Icon) and choose the option to Create Signature.

  2. A pop-up menu will appear with two options: Trackpad and Camera. Select the method of your preference.

    • Trackpad: If you choose this option, a signature capture window will appear. Use your trackpad to create your signature by signing with your finger.
    • Camera: This option allows you to use the built-in camera on your Mac to capture your signature. Position your signature on a piece of blank white paper, hold it up to the camera, and align it within the on-screen guide.
  3. Once you have captured your signature, click on Done to save it.

Step 3: Apply Your Digital Signature

  1. With the Markup Toolbar still visible, click on the Sign icon (Sign Icon) again.

  2. From the drop-down menu, select your saved signature under Signatures.

    • If you have multiple signatures saved, choose the relevant one.
  3. Your signature will appear as a draggable annotation on the PDF. Position it in the desired location by clicking and dragging it.

Step 4: Adjust Signature Appearance (Optional)

  1. While your signature is still selected, go to Markup Toolbar and click on the Adjust Size button (Adjust Size Button).
  2. Move the slider to adjust the size of your digital signature to your liking.

Step 5: Save the Signed PDF

  1. Once you are satisfied with the placement and appearance of your digital signature, go to File > Save to save the signed document.
  2. Choose a location on your computer for the saved PDF, provide a filename, and click on Save.

Congratulations! You have successfully created and applied a digital signature using Preview in macOS. Your signed PDF document is now ready to be shared or stored securely.
