How to Create and Manage Smart Folders in Finder

Smart folders in Finder are a powerful feature that allow you to create virtual folders that automatically update based on specific search criteria. These smart folders can be a great way to organize and manage your files more efficiently. In this tutorial, we will guide you through the process of creating and managing smart folders in Finder.

Prerequisites

  • Mac computer running macOS (version 10.6 or later)

Step 1: Opening Finder

  1. Click on the Finder icon located in the dock or click on the desktop to activate Finder.

Step 2: Creating a Smart Folder

  1. With Finder open, navigate to the top menu bar and click on File.
  2. From the drop-down menu, select New Smart Folder or use the keyboard shortcut Option+Command+N.

Step 3: Setting Search Criteria

  1. A new Finder window will open, displaying the Smart Folder search criteria bar at the top.
  2. Click on the + button on the right side of the search criteria bar to add search conditions.
  3. Choose the desired search attributes from the options provided. For example, you can search by file name, file type, creation date, modification date, or any combination of these.
  4. Once you've set your search criteria, click on the Save button on the right side of the search criteria bar.

Step 4: Naming and Saving the Smart Folder

  1. A window will pop up asking you to provide a name for the smart folder. Type in a descriptive name that reflects the search criteria you've set.
  2. Choose the location where you want to save the smart folder. You can choose to save it in the sidebar, which will make it easily accessible, or any other desired location.
  3. Click on the Save button to create your smart folder.

Step 5: Managing Smart Folders

  1. To access your smart folders, navigate to the sidebar in Finder.
  2. Scroll down to the Favorites section, where you'll find your saved smart folder(s).
  3. Click on the smart folder to view its contents.
  4. To edit the search criteria of a smart folder, right-click on it and select Show Search Criteria.
  5. In the search criteria window, you can modify the conditions as needed. Click on the Save button to apply the changes.

Step 6: Removing a Smart Folder

  1. To remove a smart folder from the sidebar, right-click on it and select Remove from Sidebar.
  2. The smart folder will still be available in its original saved location and can be accessed from there.
